Privacy policy

McKelvie Physiotherapy and Vestibular Rehabilitation (“we”, “us”) is committed to protecting the privacy of our patients and website visitors. As a health information custodian in Ontario, we handle personal health information in accordance with the Personal Health Information Protection Act, 2004 (PHIPA) and the standards of our regulatory colleges.

Information we collect

To provide care, we collect information such as your name, contact details, date of birth, health history, assessment findings, treatment notes and insurance details. We collect only what we need, and wherever possible directly from you.

How we use it

  • To assess, treat and communicate with you about your care
  • To bill you or your insurer, and to process claims you authorize
  • To communicate with other health providers involved in your care, with your consent
  • To meet our legal and regulatory obligations

How we protect it

Health records are kept confidential and stored securely, with access limited to the people who need it to provide your care or run the clinic. Records are retained for the period required by our regulatory colleges and then securely destroyed.

Online booking

Appointments are booked through Jane, a third-party practice-management platform. Information you enter when booking is handled under Jane’s privacy and security practices as well as this policy.

This website, cookies and analytics

This website does not collect personal information through forms. With your permission, we use the following tools, managed through Google Tag Manager:

  • Analytics (Google Analytics 4): anonymous statistics about which pages are visited and how people find us, so we can improve the site.
  • Marketing (Google Ads and the Meta Pixel): to measure whether our advertising leads people to our website or to book an appointment.

When you first visit, we ask for your choice. Until you agree, no analytics or advertising cookies are stored. Google may receive limited, cookieless signals (for example, that a page was viewed) that cannot be used to identify you or for advertising. If your browser sends a Global Privacy Control signal, we treat it as declining. You can change your choice at any time using , also in the footer of every page.

Health-related pages: the Meta Pixel is never loaded on our pages about specific conditions or therapies (including all of our condition guides — such as BPPV, vestibular neuritis, Ménière’s disease and concussion — as well as vestibular rehabilitation, infrared goggle testing and psychotherapy), even if you have accepted marketing cookies.

Online booking takes place on Jane (mckelviephysiotherapy.janeapp.com), which has its own privacy practices. The map on our contact pages only loads from Google Maps if you choose to show it, at which point Google’s privacy policy applies.

Your rights
